We're looking for an experienced, detail-oriented professional to manage all transaction coordination and listing coordination for our luxury real estate team in Southlake. This is an in-office role supporting 3 agents with high-end residential transactions ($700k-$3M).

You'll handle everything from contract to close on the TC side, and all listing preparation, MLS management, and client communication on the listing side. Transaction Coordination (50% of role):

• Manage all contracts from executed to closing
• Coordinate with title companies, lenders, inspectors, and appraisers
• Track all deadlines and ensure compliance with contract timelines
• Prepare and review closing documents
• Communicate proactively with clients throughout the transaction
• Problem-solve issues that arise during the transaction process
• Maintain organized digital files for all transactions

Listing Coordination (50% of role):

• Enter and manage all MLS listings with accuracy and attention to detail
• Coordinate professional photography and staging appointments
• Create listing marketing materials (brochures, flyers, property descriptions)
• Manage client communication (listing agreements, market updates, showing feedback)
• Coordinate keys, lockboxes, and signage installation
• Schedule and track showings, collect and report agent feedback
• Send required client communications ("First Weekend on Market" emails, etc.)
• Support open house preparation and coordination
• Ensure all legally required disclosures and documents are obtained and on file

REQUIRED QUALIFICATIONS:

• 3+ years of transaction coordination and/or listing coordination experience in residential real estate
• Strong MLS knowledge and experience (DFW markets preferred)
• Proven ability to manage multiple transactions simultaneously with competing deadlines
• Excellent written and verbal communication skills
• Extreme attention to detail and organizational skills
• Proficiency with real estate software (MLS, Dotloop, or similar transaction management, CRM systems)
• Ability to work in the office Monday-Friday, 8:30 a.m. - 5:00 p.m. in Southlake
• Self-starter who can anticipate needs and work independently
• Professional demeanor for client interactions

PREFERRED QUALIFICATIONS:

• Active Texas real estate license
• Experience with luxury residential transactions ($700k+)
• Familiarity with Monday.com or similar project management tools
• Experience with Follow Up Boss, SureSend, or similar CRM platforms
• Marketing or design skills (Canva, Adobe, etc.)
